POLICY

Member terms

Effective date

1. Purpose

These Terms govern member accounts and member services provided on the website operated by the World Arts Federation (the “Federation”), including administrator-recorded preaccepted registration, regular membership applications, chapter membership requests and notifications.

2. Key definitions

  1. A “Member” is a person who has verified an email or supported identity-provider account and completed WAF registration by accepting the Member Terms and Member Privacy Policy.
  2. “Preaccepted registration” means registration completed by a System Administrator after verifying from offline intake records that the member accepted the Member Terms and Member Privacy Policy and that ownership of the email address was confirmed.
  3. Membership types are Associate, Regular, Special and Honorary.
  4. “Headquarters Regular Member” means a Regular Member who is not affiliated with a chapter. It is not a separate membership type.
  5. A position is a descriptive title used for display and search. It does not grant website administration authority.
  6. A Chapter Administrator is a separate administrator account assigned by the Federation and may act only within its assigned chapter.

3. Publication and changes

The Federation publishes the version and effective date of these Terms. Changes will comply with applicable law, and material changes will be announced before they take effect. Where renewed consent is legally required, the Federation will provide a separate process.

4. Registration and account security

  1. Members may register with email and password, a supported sign-in provider, or preaccepted registration recorded by an administrator.
  2. Direct email registration requires a time-limited verification code.
  3. For preaccepted registration, a System Administrator verifies the offline record of consent to the then-active Member Terms and Member Privacy Policy and confirmation of email ownership. The time stored by the website is the time this confirmation was recorded in the system, not a representation of the earlier offline consent time.
  4. If a new authentication account is created for preaccepted registration, the Federation may send an authentication email that allows the member to set or reset a password. No temporary password is displayed to the member or included in the email.
  5. If a confirmed authentication account already exists for the same email, the Federation links the registration to that account without changing its existing password, identities or confirmation state.
  6. Email and Google sign-in methods using the same verified email may be linked to one authentication account under the identity provider's policy. Linking a sign-in method does not itself grant member or administrator status.
  7. Members must provide an accurate name and may provide an optional introduction.
  8. Accounts and authentication credentials may not be transferred or shared.
  9. Member and administrator accounts are separate and one authentication identity cannot hold both roles.

5. Membership types and regular applications

  1. Members who complete direct registration begin as Associate Members.

  2. A System Administrator may register a member as an Associate, Regular, Special or Honorary Member based on verified preacceptance records.

  3. An Associate Member may apply to headquarters or one active chapter.

  4. A regular membership application requires a business card, self-introduction document and profile photograph. File type, size and availability limits are shown in the application.

  5. The Federation may notify the member when an application is received, reviewed, returned for replacement, approved or rejected.

  6. A rejected application requires a new application; a replacement request continues in the existing application.

  7. Special and Honorary membership types are assigned and changed under the Federation's internal standards and approval process.

  8. Regular, Special and Honorary Members must pay annual membership dues of USD 20. Associate Members are not subject to dues. Payment timing and other administrative details are governed by separate guidance from the Federation secretariat, and account details are provided in the Support and Membership Dues section of the website.

  9. A System Administrator records the verified actual amount, currency, payment date and recognized dues period. The end date is inclusive. Paid or unpaid status means whether a valid recorded period covers the current date; the amount alone does not automatically grant validity or change sign-in access, membership type or chapter eligibility.

  10. A Membership ID identifies a dues renewal record, while a Certificate No. remains with the member. Members may ask the Secretariat to correct display numbers or payment records. Voiding a recognized dues record does not cancel a bank transfer or execute a refund.

6. Chapter membership

  1. Regular, Special and Honorary Members may belong to one active chapter.
  2. Join and leave requests are separate and may be handled automatically or manually according to the chapter setting captured when the request is made.
  3. Rejections include a recorded reason.
  4. When chapter membership ends, the affiliation history remains available and chapter-linked positions may also end.
  5. A change among Regular, Special and Honorary membership preserves the current chapter affiliation and pending join or leave requests.
  6. Before changing from Regular, Special or Honorary to Associate, all active chapter affiliations and pending join or leave requests must be concluded. An Associate Member cannot request chapter membership or hold an active chapter affiliation.
  7. Where a System Administrator records a chapter affiliation from preaccepted records, it is recorded as an administrator preaccepted affiliation and is not represented as a request submitted directly by the member.

7. Member content and files

Members must not submit unlawful, false, harmful or rights-infringing content. Application files must not contain unnecessary sensitive data such as national identification, passport or financial information. Members retain ownership of their lawful materials and grant the Federation the limited permission needed to review the application. The Federation may enforce file-format, size, security and retention limits.

8. Notices and email

The Federation may provide registration, initial password setup or reset, profile, application, chapter and service notices through the website or email. Authentication and account-security messages and application or general transaction messages are sent through their respective responsible systems. Email delivery can occasionally be duplicated, and the current status shown on the website is authoritative. A member who receives a password setup or reset message that they did not request does not need to use the link.

9. Restricted conduct

The Federation may restrict service access where a user misuses another person's account, submits false or malicious material, interferes with security or availability, infringes rights, or violates law or these Terms. Unless urgent security concerns prevent it, the Federation will make reasonable efforts to explain the restriction and available review process.

10. Account deletion

Associate Members may request deletion from My Page after recent sign-in verification. Deletion for Regular, Special and Honorary Members follows an administrator request and final System Administrator approval. Once approved, access is blocked and personal information and activity history are deleted after safety conditions such as active upload windows have ended. Deleted data cannot be restored. If a separate statutory retention obligation is actually established, the affected information will be segregated from member data and processed only for the scope and period required by law.

11. Service changes

The Federation may change or temporarily suspend the service for maintenance, security, force majeure, network failures or external-service failures. Reasonably foreseeable material interruptions will be announced where practical.

12. Liability

To the extent permitted by law, the Federation is not liable for loss caused by a member, force majeure or external identity and communications providers where the Federation has no intent or gross negligence. The Federation does not guarantee the truth of member submissions or transactions between members and third parties. Nothing in these Terms excludes liability that cannot lawfully be excluded.

13. Contact and governing law

Questions may be directed to the WAF Secretariat. These Terms are governed by the laws of the Republic of Korea, and the parties should first attempt good-faith consultation.
